Information we collect

We collect information you give us by email, telephone or correspondence, including your name, role, organisation, contact details and the information in your enquiry or complaint. This notice covers clients and their representatives, consultants, subcontractors, suppliers, neighbours and other people who contact us about our work.

If you send us your CV or ask about working with us, we collect your CV, covering letter and the information in them.

Our contact page currently directs visitors to telephone or email us. If you visit a project site, the separate Site Operative & Visitor Privacy Notice explains site sign-in information.

How we use it

  • Enquiries and quotations: to respond, understand requirements and prepare proposals. Our legitimate interests are handling enquiries and developing business relationships. Where you personally may enter a contract with us, we may take steps at your request before that contract.
  • Project and supplier relationships: to deliver work, coordinate projects and manage contracts. We rely on contract where you are a contracting party, and legitimate interests in managing business relationships where you represent an organisation.
  • CVs and job enquiries: to consider you for current or future roles. Our legitimate interests are recruiting suitable people. Where you apply for a role, we also take steps at your request before entering a contract.
  • Complaints and neighbours: to investigate and respond to concerns and manage the effects of our work. Our legitimate interests are resolving concerns and maintaining safe, responsible project operations.
  • Legal duties: to keep records and meet relevant health and safety, tax and other legal obligations. Our basis is legal obligation.
  • Publicity and marketing: where we use consent for identifiable photographs, you may withdraw it. Any business marketing relies on an appropriate lawful basis and consent where required.

We do not use personal information for automated decision-making.

Who receives your information

Where necessary, we share information with our IT, email, website hosting, cloud and professional service providers; clients, designers and project partners involved in delivering work; and authorities where disclosure is required by law. Service providers acting on our behalf must protect the information and use it under our instructions. We do not sell personal information.

Transfers outside the UK

Some of our service providers may store data outside the UK. Where they do, we only use providers that protect it with safeguards recognised under UK law, such as UK adequacy regulations or the International Data Transfer Agreement.

How long we keep information

Only as long as we need it for the purpose we collected it for, or as the law requires.

Your rights

Depending on the circumstances and the lawful basis used, you may ask to access your personal information, correct inaccuracies, erase information, restrict its use, or receive certain information in a portable format. These rights are subject to applicable conditions and exceptions.

Right to object: you may object to processing based on legitimate interests for reasons relating to your circumstances. You may object to use of your information for direct marketing at any time.

Where we rely on consent, you may withdraw it at any time by contacting Scott Appleford. Withdrawal does not affect the lawfulness of processing before withdrawal.

Please contact Scott Appleford using the details above. We normally respond within one month. Where the law permits more time, we will explain why and tell you the revised timescale. We may need information to confirm your identity.

Providing information for a general enquiry is voluntary, but without sufficient contact details and details of your request we may be unable to respond or provide a quotation. If information is required by law or contract for a particular activity, we will explain this and the consequences of not providing it.

Complaints

Please contact Scott Appleford if you have concerns about our use of personal information. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

Our employees

We have a separate privacy notice for our own staff, which explains how we handle their personal information.

Website technology and external services

Our contact page provides a button labelled “Show interactive map” and “Loads Google Maps”. The interactive map is only loaded when you choose that button. The page also links to Google Maps, Apple Maps, Waze and LinkedIn. If you open an external service, its provider’s privacy information applies to its own processing.

Changes to this notice

We will update this notice when our use of personal information changes. The effective date at the bottom of this page shows when it was last updated.
